This position is a part-time, in-office position. There is NOT a remote option.
The schedule will be 20 hours/week with a schedule to be arranged with your supervisor.
Part-time employees are eligible for benefits at a prorated rate. Part-time employees are paid on an hourly basis, so depending on the schedule worked, the benefits and the holidays will be pro-rated as well.
If you are bilingual in English and Spanish, you may receive a 5% differential pay contingent upon passing language test(s) evaluating your proficiency in the bilingual needs of the position.

Your duties at a glance
As an employee working within the Child Welfare Program, you will have an opportunity to make a meaningful difference in the lives of Oregon’s most vulnerable children and families. Your dedication will help us achieve the Child Welfare Vision for Transformation that will support children and young adults to be safer, healthier, experience less trauma and achieve a greater well-being.
As an Office Specialist, you will:
Answer incoming calls, answer question for walk ins, disburse mail received to all persons in child welfare, mail letters, case files, & packages as directed.
Maintain mailroom and mail meter machine.
Provide customer service to include assisting visitors and directing calls to appropriate parties and outside contractors with a pleasant and helpful demeanor.
Schedule conferences room, set up conference calls, maintain court calendar, and order office supplies.
Maintain state vehicles assigned to Child Welfare
Raise and lower flags as directed by governor.
File closed case files, pull case files as needed, periodically remove older closed cases for archiving, prep & log information, create archive list, send to archive, also request files from archive as needed, resubmit closed casefile back to archives, transfer files to other branches as requested this includes both casefiles and foster parent files.
Assist caseworkers with collection of case documents and open, transfer and close cases for assigned unit.
Prepare packets for Permanency/Adoption Committees.
Collect, copy, distribute, scan, and track documents/information to be disclosed upon request or as part of discovery in court related matters.
Update all case information, perform vital records requests, birth searches, school information, and immunization information.
Process adoption assistance memos from Central Office, verify monthly buss pass requests, complete funding requests, and process petitions.
Prepare and maintain the current desk manual.
Provide basic unit backup support to other Case Management Coordinators, Reception, and provide court shuttle backup.
Complete extensive searches which include data entry and researching provider payment questions using Accurint, IIS, Birth/Death and Marriage screens, OVERS, etc.
Schedule Meetings in OR-Kids for workers/cases, attend meetings and complete trainings as assigned by supervisor.
What you need to qualify
Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents; OR
An associate degree in any field; OR
An equivalent combination of education and experience.
Essential attributes

Experience with organizational skills including multi-tasking, prioritizing work and paying close attention to details.
Experience using Microsoft Excel, Word, Outlook, Internet Explorer (or other web browser), and other computer applications.
Experience handling and maintaining confidential information.
Experience explaining rules and procedures to a wide variety of people.
Experience working both independently and cohesively with a team.
Experience interacting with a wide variety of people in a respectful and compassionate manner.
Customer service skills that include going above and beyond to exceed customer expectations.

Working conditions
Your work will be conducted in an office setting – this is NOT a remote position.
This is a part-time/job share position that is shared with another Office Specialist 2.
You may have required travel for the purpose of attending trainings.
Your hours of work may fluctuate based on service needs. Occasional compensated overtime may be required, including evening and weekend work.
You may interact with a wide range of people including some who have experienced trauma and exhibit challenges in controlling their emotions.
You may walk into stressful situations that require quick decision-making skills to ensure safety of those being serviced and your own physical safety. This may also be trauma inducing.
