Position Summary: Oversee nightly weekend private event operations to ensure an exceptional guest experience and efficient management across various departments. Uphold high standards of service and resolve any guest, staff, vendor, and facilities-related issues or problems that arise during the events.
Essential Functions:
- Act as primary nightly liaison between client, vendors, catering team, and Arboretum staff.
- Ensure that vendors are adhering to all Arboretum policies and guidelines. Coordinate with Security staff to enforce policies as necessary.
- Ensure that appropriate directional signage is in place prior to the start of events and that all is picked up following events.
- Greet and direct event guests in the breezeway as they arrive for an event(s).
- Respond to staff via cell phone and radio throughout the evening to assist with any challenges that arise.
- Rotate hourly between all event venues to observe activity, ensuring efficient event management.
- Initiate work orders for any facility-related issues. Contact appropriate staff for any facility issues that arise during events.
- At the conclusion of the events, assist guests with organizing their items for removal. Ensure that all items brought in by the client or their vendors are taken with and removed after the events to prepare the venue for use the next day.
- Assist with Building Monitor duties as requested by the Ranger on Duty.
- Demonstrate alignment with the Arboretum’s employee core values to be inclusive, take ownership, work together, keep learning, and make the Arboretum exceptional.
- Other duties as assigned.
Qualifications: Prior supervisory and event management experience strongly preferred. Excellent communication and customer service skills. Able to facilitate considerable public contact in a fast-paced environment which will often involve very reactive situations. Possess superior problem solving skills in addition to the ability to multitask.
Success Factors: Personable, outgoing, and customer service-oriented individual who is able to relate effectively and build positive relationships with all constituents. Flexibility, resourcefulness, and ability to think quickly to manage last minute client requests is essential.

- Physical Demands: Requires occasional physical activity: safely move and transport objects up to 40lbs., standing for long periods of time and walking over all types of terrain.

- Schedule: During the months of May-October with an expected schedule 20 hours per week to include two 10-hour shifts (3:00pm-1:00am) on Friday, Saturday or Sunday evenings, according to the private event schedule.
The hiring rate for this position is $25.00/hour
